Perform secretarial/administrative duties for busy interactive engineering firm.
Travel research and arrangements for office and site staff members (Flights, Accommodation, Car Rental, Uber Business)
Liaise with Sales, Projects & Engineering Teams daily to ensure travel requirements are met.
Liaise with all travel providers following up on invoicing and billing.
Ensure staff monthly schedule up to date and relevant.
Constantly monitor service providers and ensure that the rates quoted are fair.
General administrative office duties
Boardroom Co-ordination / Bookings
Monitor Attendance / Sick Leave / Annual Leave / Absenteeism
Monitor Expense Claim Forms
Monitor / order Weekly Flower delivery for Reception and/or any other flowers required.
Projects / Events / Conference planning, coordinating and implementation
Request and manage Supplier BEE Certificates
Order Stationery and Groceries
Update / manage company supplier- and customer Telephone Directory & Internal Extension Lists
Order and manage Site Vehicle rentals
Manage Cellular Contracts
Manage Spare Office Keys and Remotes
Coordinate First Aid Training and Manage First Aid boxes.
Manage Departmental CV selection, Prepare welcome packs for new employees
National Senior Certificate / Matric
Strictly 08h00 to 17h00 with flexibility should extra hours be required.
Excellent Telephone mannerism; Speak loudly with clarity, excellent communication skills
Handle anger, conflict, difficult people, situations and complaints
Strong Public/Client Relation Skills
Presentable with Mature demeanour
