Position Overview

In this position you will be responsible for providing high-quality administrative, reception, and front-of house support to ensure the smooth and professional operation of the practice.

This role is the first point of contact for patients and healthcare partners and requires excellent communication, organisation, and professionalism. Training and a full handover will be provided.

Key Responsibilities

1. Reception & Front-of-House Duties

Greet patients warmly and professionally.

Manage incoming calls, emails, and general enquiries.

Schedule and manage appointments and follow-ups.

Maintain the reception area to a high professional standard

2. Clinical & Theatre Administration

Organise theatre bookings, including scheduling with hospitals and anaesthetists.

Prepare theatre slates and required documentation.

Coordinate with theatre clerks & stock controllers for equipment, timing, and confirmations.

Manage appointment bookings for consultations and surgeries.

3. Practice Operations & Documentation

Process hospital authorisations, billing, and invoicing (training provided)

Manage patient records in accordance with privacy and confidentiality policies.

Use medical practice software for data entry, billing, and scheduling.

Handle correspondence, incoming documents, and daily administrative tasks.

Liaise with pharmacies, case managers, suppliers, and Medical aids.

4. Professional & Communication Skills

Maintain a professional appearance and demeanour at all times.

Demonstrate excellent phone etiquette and written communication.

Ensure high levels of customer service and patient care.

Key Requirements Essential

Previous administration and reception experience.

Strong computer skills (Microsoft Office, Word packages)

Professional presentation and communication skills.

Ability to maintain confidentiality with sensitive patient information.

Organised, reliable, and able to multitask in a busy environment.

Strong attention to detail

Desirable but not a requirement

Experience using medical practice software.

Experience in medical administration or health-related settings.

Contract Details

6-month fixed-term contract (Mid February – Mid August).
